No access to an E2003 at the momement, but as I recall the Exchange mailbox
estimation included calendar, tasks, *and* the deleted items, (junk too)
where the Outlook estimate may or may not. If the use can find a specific
message through OWA that is not shown in Outlook cached mode you can
substantiate the discreppencies.

Only by doing an offline defrag will you reduce the DB size on disk. DB used
space can be reduced by users cleaning up stuff, deleted items, deleted item
recovery, and deleted mailboxe recovery times/settings or purge.

Usually, an offline defrag is just risky business and best avoided.

Outlook may show 7,500 EMAILS but Exchange shows 10,950 ITEMS. The number of
items shown by exchange I think includes deleted items, retained deleted
items, appointments, contacts, notes etc as well as emails. So I'd expect
the two counts to be different.

Whilst I know that the customer is always right, I suspect in this case the
customer is wrong. Realistically how often do people check how many emails
they have?

Yes.

Not that I know of. You can count up the number of emails, appointments,
contacts etc, but I don't know a way to get the the number of retained
deleted items, and in any event if you could verify all of this you would
just be getting to the figure reported by Exchange.

In terms of verifying the customers figure the only way is to recover the
lost laptop, but I expect that would just show that the customer didn't have
as many emails as he thought.
